For booking engine and PMS partners

This page is for teams at booking engines, channel managers and property management systems who are reviewing a connection with Hotel Waitlist. It explains what the product does, how it connects, what data it asks for, and how hotels stay in control of it.

What Hotel Waitlist does

When a guest searches a hotel's booking engine and finds no room for their dates, or only some room types left, Hotel Waitlist offers them a place on the hotel's waitlist. The guest leaves their email address and the dates they wanted. When a matching room opens, Hotel Waitlist emails them with their dates and a link straight back into the hotel's own booking engine, where they book as normal.

Hotel Waitlist is not an OTA or a reseller. It never takes a booking, holds inventory or sells rooms. Every booking it delivers is made on the hotel's own booking engine, as a direct booking. Hotels pay a 10% commission on the net room revenue of those bookings, and nothing else.

How it connects

Through the booking pages

Available on every engine we list. The hotel's Google Tag Manager container loads our tags on its booking pages. They show the waitlist offer and read the dates searched and which room types were sold out. No platform credentials are involved.

A direct platform connection

Server to server, and only where the platform has approved it. It gives Hotel Waitlist current availability and rates for the dates a guest is waiting on, and tells it when that guest has booked. The hotel switches it on for its own property.

What a direct connection asks for

DataAccessWhy
Availability by room type and date Read To know when a room opens for the dates a waitlisted guest asked for.
Rates by room type and rate plan Read So the email quotes the price the guest will see when they book.
Reservations at the property: dates, room type, value, status Read To stop emailing a guest who has already booked, and to count bookings for commission.
The guest's email address on a reservation Read Only to match a reservation to a waitlist sign-up.
A single-use discount code or voucher Create Only where the hotel turns on discount offers and the platform supports single-use codes: one code, for the one guest being emailed.

How a hotel controls it

A connection is switched on property by property, only when the hotel asks for it. The hotel can end it at any time, through the platform or by telling us. When it ends we stop receiving that property's data, and the data we already hold is deleted or returned under our Data Processing Addendum with the hotel.

Guest data

For guest data, the hotel is the controller and Waitlist Ltd is its processor, under Article 28 terms in every hotel agreement. Data received for one hotel is used for that hotel only. A guest who opts out is suppressed from every further email. Details: UK Data Protection & Security and Privacy Notice.
